Client Overview

A global professional organisation operating in the megaproject management space required an experienced virtual event production partner to deliver a highly complex, multi-day international conference.

The conference focused on highly complex, multifaceted projects delivered at both national and international levels, spanning multiple industries and regions.

While the client had already invested in Zoom Events and designed the agenda, their internal team had never delivered an event on the platform before. They needed expert guidance to ensure the experience was secure, polished, and scalable across multiple time zones.

The subject of the conference – megaproject management – proved fitting. The event itself was a complex project in every sense.

The Challenge

The conference ran over one full week, combining:

  • Keynote sessions
  • Roundtables
  • Interactive masterclasses

The most demanding element was the 24‑hour peak programme: back‑to‑back keynote sessions running simultaneously across three global tracks:

  • Americas
  • Europe
  • Asia‑Pacific

In total, the event featured 80+ speakers joining from multiple time zones, with strict requirements around security, content management, speaker onboarding, interactivity, sponsor visibility, and on‑demand access post‑event.

All of this needed to be delivered on an accelerated timeline – from instruction in mid‑November to live delivery on 8 December, allowing just three to four weeks to design, configure, rehearse, and produce the entire experience.

Our Approach

Virtual Approval was brought in to take full responsibility for the management and live production of the event.

We began by working closely with the client team to assess the agenda, audience flows, and platform requirements, before building a detailed technical and operational framework that could support continuous delivery across 24 hours.

Key elements of our approach included:

Technical Design & Planning

  • Creation of a detailed technical run of show covering all sessions and time zones
  • Secure configuration of the Zoom Events environment
  • Clear content flow and best‑practice guidance tailored to the platform

Producer SWAT Team

  • Deployment of a dedicated Producer SWAT Team of 10 producers operating in structured shifts to cover the full 24-hour live programme
  • An overall production management layer, including:
    • A Production Manager overseeing delivery across all tracks
    • A Lead Producer responsible for real-time decision-making and live escalation
    • A Project Manager coordinating timelines, stakeholders, and delivery milestones
  • A core producer presence covering the entire 24-hour period to ensure continuity, consistency, and quality control
  • Dedicated track teams for each global stream (Americas, Europe, Asia-Pacific):
    • Two producers per track, covering front-of-house delivery and live session management
    • A team of backstage technicians supporting speaker onboarding, transitions, and technical troubleshooting
  • Clear separation between front-of-house delivery, backstage speaker support, and overall programme management, enabling the event to scale smoothly without compromise

Speaker Management & Preparation

  • Coordination of 80+ speakers globally
  • Delivery of technical rehearsals across time zones
  • Creation of speaker preparation documents and best‑practice guidance

Platform Build & Configuration

  • Full build of the Zoom Events environment, including:
    • Multi‑track agendas
    • Sponsor booths
    • Holding and waiting‑room videos
    • Session‑level resources and downloads
    • Speaker biographies and headshots
    • Fully populated and branded lobby experience

Registration, Security & Lead Tracking

  • Set‑up of a global registration and ticketing pathway
  • Secure platform configuration throughout
  • Integration with LinkedIn for promotion and lead tracking
  • Reporting to enable the client to measure engagement and campaign performance

Live Event Production

  • End‑to‑end live virtual event management
  • Real‑time moderation of chat and interactivity
  • Support for plugins and interactive tools
  • Continuous quality control across all tracks

Post‑Event Delivery

  • Management of the full recording library
  • Structuring content for on‑demand viewing
  • Ensuring long‑term value from the event content

The Result

Despite the scale, complexity, and compressed timeline, the conference was delivered smoothly and seamlessly across all regions.

Speakers were well prepared, sessions ran on time, audiences were engaged, and the client was able to track performance across registrations, attendance, and promotional channels.
