This legal conference management case study looks at how VA Events supported Leeds Law Society’s 2026 Annual Conference. LegalTech in Leeds brings together the region’s legal and technology communities. For its 2026 Annual Conference at The Rose Bowl, Leeds Beckett University, Leeds Law Society was taking on delivery of the event under new ownership.
The programme was already taking shape. The challenge was turning it into a polished live conference, within 8 weeks of instruction, ahead of show day.

Why VA Events?
Leeds Law Society brought VA Events, from the team behind Virtual Approval, into the project because we weren’t a new supplier they needed to get up to speed with.
We’d worked together for more than 5 years across a wide range of events. They knew we could move fast, and that we already had the project-management systems, production processes, checklists and experienced team needed to hit the ground running.
They trusted us to take ownership of the event management, logistics and production workstream and run it independently, while the committee and programme manager stayed focused on the programme, speakers, content and partnerships.

The Challenge.
There was no time for a lengthy handover or duplicated effort. Venue liaison, catering, registration, print, exhibitors, speaker logistics, production and show-day delivery all had to come together within weeks.
This wasn’t a project that needed more meetings. It needed an experienced delivery team that could spring into action.
Fast structure. Clear ownership.
We started with an immediate site visit, established a central project tracker and put our existing operational checklists and production processes into action.
VA Events became the operational link between the venue, caterers, suppliers, registration, speakers, sponsors and exhibitors, managing practical requirements including AV, power, print, deliveries, parking, presentation collection and on-the-day logistics.
That’s what experience buys when time is tight: you don’t have to start by working out what needs to be done. You already know.

Commercial Thinking, Not Just Event Planning.
The event had 2 constraints that could easily have increased cost or reduced revenue: a limited installed AV system and a shared exhibition space.
Our approach was simple: solve the problem intelligently before solving it by spending more.
1. Making the venue AV really work.
The easy answer would have been to bring in a larger external AV package. Instead, our production team used the site visit to understand exactly what the venue system could do, where its limitations sat and how to design around them.
We built direct relationships with the venue technical team, agreed escalation routes and testing times, and pre-planned IT requirements including network access, open ports and external Mac connectivity for interactive content and live demos.
We then supplemented the installed system selectively from our own inventory: an iPad countdown timer, additional preview screens, a separate green-room content preview and editing station, plus the cables, adapters and backups experienced producers know to carry.
Even the auditorium’s 4-microphone limit was built into the running order and mic rotation, keeping a 30+ speaker programme moving without unnecessary additional kit.

2. Protecting sponsor inventory in a shared exhibition hall.
The exhibition area was shared with another event. The obvious options were to move sponsors elsewhere, reduce the exhibition footprint or take more venue space. All had a commercial downside.
Moving exhibitors could have meant losing space for up to 4 full sponsor stands. Taking or partitioning additional space would have increased venue costs.
Neither was acceptable. The commercial success of the event mattered as much as the operational delivery, so we got creative.
We reworked the floorplan around what each partner actually needed, considering stand format, positioning, banners, power, AV and natural delegate flow. This created a clearly defined LegalTech zone within the shared area and retained room for all 13 exhibitors.
BOTTOM-LINE BENEFIT: Sponsor capacity protected, additional venue costs avoided, and sponsor interaction became one of the areas receiving particularly positive feedback.

The Details That Kept The Day Moving.
Registration: Spare badge stock and on-site printing kept registration open for late bookings, substitutions and corrections.
Delegate flow: Pre-event directions, wayfinding and volunteer positioning were planned around multiple entrances and potentially confusing arrival routes.
Sponsors & exhibitors: AV, power, print, deliveries, parking and setup requirements were coordinated centrally.
Speakers: Presentation collection, schedules, logistics and production requirements were managed as one operational workstream.

Within 8 weeks, LegalTech in Leeds was delivered as a successful 200+ delegate conference with 30+ speakers and 13 exhibitors.
The programme ran successfully, delegate movement flowed smoothly, and sponsors and exhibitors could focus on engaging with attendees rather than practical delivery.
Feedback we received verbally from the committee and others involved repeatedly centred on how relaxed they felt knowing the operational and production delivery was in our hands, with particularly positive comments on the overall experience, the flow of the day and the interaction between delegates and sponsors.
Most importantly, we created value on the bottom line: protecting sponsor inventory and avoiding unnecessary AV and venue expenditure while still delivering a polished experience.

We don’t spend our way out of problems. We use experience to design our way around them.
The committee brought the subject-matter expertise, relationships and programme. VA Events brought the operational systems, technical production knowledge, equipment and experienced people to turn it into a live event, backed by more than 5 years of working with Leeds Law Society.
You don’t always need another 6 months. Sometimes you need the right people to take ownership of the right things.
